One Coordinator. Six Departments. One Deadline.

Each spring, the English department at a small regional Catholic liberal arts university runs its annual induction cycle for the Alpha Phi Iota chapter of Sigma Tau Delta, the International English Honor Society. The chapter carries no dedicated budget line and no second coordinator. The work belongs entirely to the departmental administrative assistant — who also supports five additional academic departments simultaneously.

This case study documents how I managed the full project cycle: from pulling raw registrar data and building a tracking system from scratch, through designing all event materials, coordinating with faculty and the national organization, executing the ceremony, and filing the post-event records.

Every phase ran on schedule. Every payment reconciled. Every new member record reached the national organization error-free. This case study explains how I built the system that made that possible.

Three Problems That No Existing System Solved

"This project had no budget line, no dedicated staff, and no existing system. What it had was a deadline, 34 students whose records required careful handling, and a requirement to get everything right."

Data Without Architecture

Eligibility data lived across three separate sources: a registrar enrollment report, a chapter member database last updated the previous spring, and a national organization member portal. No single source of truth existed. Cross-referencing these manually produced errors. I needed to build a system before I could use one.

Compliance at Every Step

Student academic records fall under FERPA. Every eligibility check, every email, every event list required careful attention to who could see what and when. Working solo meant I was the only checkpoint between a student's record and any outward-facing document.

Solo Execution Across Phases

Six simultaneous phases — data analysis, student outreach, materials design, event logistics, ceremony execution, and post-event documentation — with no ability to delegate and no buffer for missed steps. Every phase had to close cleanly before the next one could open.

Data Pull and System Architecture

I pulled the spring enrollment report from the registrar and built a five-tab Excel workbook before any outreach began. The workbook organized all 34 English-connected students into four program categories (English major, English education major, double major, English minor), sorted by graduation year and alphabetical order within each group. I applied cognitive load theory to the design: color coding, freeze panes, section headers, and alternating row fills reduce scanning time so the user can spend their attention deciding, not orienting. I then cross-referenced the enrollment data against the chapter's historical membership database to flag existing members, track payment history, and remove graduated students from the active eligibility pool.

Eligibility Analysis and Faculty Review

I applied the national organization's eligibility criteria to the full student roster: 3.0+ career GPA, 3.0+ English GPA, sophomore standing or above, and a minimum of three completed Mount English courses. This narrowed the pool from 34 students to 17 eligible candidates. I submitted the shortlist to the faculty chapter advisor for review before any student outreach began — a required step that also served as a second data check. The advisor confirmed or adjusted the list, and I updated the tracker to reflect the final approved pool.

Student Outreach and RSVP Management

I drafted the formal induction invitation and submitted it for faculty advisor approval before distribution. Outreach ran across four touchpoints per eligible student: initial invitation, five-day follow-up for non-respondents, RSVP confirmation, and payment confirmation. I tracked every touchpoint in the communications log tab of the workbook, which flagged pending RSVPs and unpaid fees in real time. This approach kept the outreach organized and ensured no eligible student fell through without a second contact.

Event Materials Production

Simultaneously with outreach, I designed and produced all ceremony materials: a formal induction invitation in HTML and print-ready PDF format (institutional navy and gold, dark academia aesthetic), a ceremony program including member names, chapter history, faculty sponsor recognition, and the national organization's induction oath, an honors dinner RSVP and seating coordination packet, and a payment tracking log. I also prepared the enrollment package for submission to the national Sigma Tau Delta organization, which required compiling verified contact information, graduation years, and payment confirmations for each new inductee.

Induction Ceremony Execution

I coordinated venue setup, catering, faculty attendance, and student check-in. Day-of management ran from room setup through the formal induction ceremony and honors dinner. I managed check-in against the RSVP list, collected remaining fees at the door, and coordinated the ceremony proceedings with the faculty chapter advisor. I also documented the ceremony for departmental records and chapter archives.

Post-Event Documentation and Closure

After the ceremony, I submitted all new member enrollments to the national Sigma Tau Delta portal, reconciled payment records against the enrollment submission, updated the chapter's master member database to reflect the new inductees and any changes in class standing among existing members, and drafted a post-event summary report for the faculty advisor. I archived all student records per FERPA protocols, documented process improvements for the next cycle, and updated the tracking workbook template so the next coordinator could start from a clean, ready system.

  • Students sort by graduation year (seniors first), then alphabetically within each year — so the most time-sensitive decisions always appear at the top of each section.
  • The Eligible column uses a Y/N flag tied directly to GPA and class standing data, making the criteria explicit and auditable rather than judgmental.
  • Existing members appear with a ✓ flag pulled from the master member database — this prevents duplicate induction outreach and flags students who already paid.
  • Row color coding follows a deliberate hierarchy: light sage = active member, light gold = newly eligible, alternating blush/off-white = standard. One glance tells you a row's status without reading every cell.
  • Freeze panes lock the header row and student name column in place during horizontal scrolling — a small choice that makes the workbook far easier to use on a laptop screen.
  • The workbook is designed as a handoff document. Each tab has one job, one visual hierarchy, and one set of instructions. A new coordinator could pick it up mid-cycle.

For Project Management Roles

This project required the same disciplines a formal project manager brings to any engagement: scope definition, phase sequencing, stakeholder mapping, risk identification, and a clean close. The absence of a project management framework did not prevent rigorous project management — it required me to build the framework myself, which is a more transferable demonstration of the skill.

For Higher Ed Marketing Coordinator Roles

Outreach to 17 eligible students across four touchpoints, formal invitation design in two formats, faculty coordination, and post-event documentation all require exactly the skills a marketing coordinator applies daily: content creation, audience-aware communication, multi-channel distribution, and outcome tracking. The context is academic, but the discipline is marketing.

For Instructional Design and L&D Roles

Cognitive load theory shaped the workbook design. The decision to organize the tracker into five tabs — one job per tab — reflects the same design logic that makes a well-built eLearning module easier to navigate than a dense PDF. The handoff documentation I produced at the end of the cycle is, in effect, a performance support tool: a future coordinator can pick up the workbook and complete the project without ever asking me a question.
